Vendors promise "99% accurate" invoice automation, and then it breaks on the first handwritten note or unusual format. Here's a realistic picture of what accuracy to expect, and — more importantly — how good systems handle the cases that don't hit it.
Accuracy is a range, not a single number
| Invoice type | Realistic extraction accuracy |
|---|---|
| Standard, consistent vendor templates | 95%+ straightforward |
| Mixed formats across many vendors | 85-92%, more exceptions |
| Scanned, handwritten or poor-quality | Meaningfully lower — plan for review |
A vendor quoting a single flat "99% accurate" number without specifying which invoice type they mean is a claim worth being skeptical of.
Where accuracy actually comes from
- PO matching. Cross-checking extracted data against a purchase order catches errors extraction alone would miss.
- Vendor-specific templates. Systems that learn each vendor's format outperform generic OCR by a wide margin.
- Confidence scoring. The system should flag its own uncertainty — a low-confidence extraction routed to a human beats a wrong number processed silently.
Designing for the exceptions
The real design question isn't "how do we hit 99%" — it's "what happens to the invoices that don't." Good systems route low-confidence extractions to a human reviewer automatically, log the correction, and use it to improve future matching. That handoff is what separates automation that survives real operations from a demo that breaks in production.
Sequencing rule: start with your highest-volume, most consistent vendor format first. Prove the system there before expanding to messier formats — see the broader ranking in document processing automation.
