RPA (Robotic Process Automation) and AI automation get used almost interchangeably, but they solve different problems. Picking the wrong one for a task means either overpaying for capability you don't need, or building something that breaks constantly.

When RPA is actually the right choice
If a process is completely rule-based and the input never varies — a scheduled data transfer between two systems with a fixed format — RPA is simpler, cheaper and more predictable than an AI-based approach. Don't reach for AI where a simpler rule-based tool does the job just as well.
When you need AI automation instead
